3. How we collect it
- Directly from you — when you complete the online quiz, book a call, speak to us on the phone, email us, or use our website forms
- Automatically — via cookies, the Meta Pixel, the Google Analytics tag and the LeadConnectorHQ (GoHighLevel) form embed when you use this site
- From third parties — Meta Platforms (Facebook/Instagram) and Google when you click one of our ads, and publicly available satellite/map providers we use to assess your roof
4. Why we use it (lawful basis)
Under UK GDPR Article 6 we must have a lawful basis for processing your data. We rely on the following:
Legitimate interest
Used for: preparing and providing your free solar quote, contacting you about your enquiry, qualifying your eligibility for our service area, fraud prevention, and basic website analytics. We've assessed that this processing is necessary, proportionate, and does not override your rights and freedoms.
Consent
Used for: non-essential cookies (analytics and advertising), marketing emails and SMS, audience-based retargeting on Meta and Google, and any sensitive data you choose to share. You can withdraw consent at any time without affecting the lawfulness of processing before withdrawal.
Contract performance
Used for: delivering the installation, processing payment, registering your system with the DNO, registering you for Smart Export Guarantee, providing warranty support, and any other service we're contracted to perform.
Legal obligation
Used for: tax records (HMRC), MCS and NICEIC compliance records, electrical safety certification (EICR), and responding to lawful requests from regulators or authorities.
5. Who we share it with
We never sell your personal data. We share it only with the trusted third parties below, who act either as our data processors (on our instructions) or as joint controllers where required:
| Recipient | Role & purpose | Where |
|---|---|---|
| LeadConnectorHQ (GoHighLevel) | CRM, form & survey hosting, calendar booking, SMS & email automation, pipeline management | USA |
| Meta Platforms Inc | Ad delivery, conversion tracking (Meta Pixel + Conversions API), retargeting audiences | USA / Ireland |
| Google LLC | Google Analytics 4, Google Ads tracking, reCAPTCHA (if enabled) | USA / Ireland |
| Vimeo Inc | Hosting the video reels shown on this site | USA |
| Northern Powergrid (or your local DNO) | Mandatory pre-install notification under G98/G99 regulations | UK |
| MCS, NICEIC, Trustmark | Certification, scheme registration, warranty backing | UK |
| OFGEM-licenced SEG suppliers | Smart Export Guarantee registration on your behalf | UK |
| Finance partners | Only if you ask us about finance, and only the data needed for an indicative quote | UK |
| HMRC and regulators | Tax, accounting, and any lawful requests we're obliged to respond to | UK |
Where a third party acts as our processor, we have a written data processing agreement in place requiring them to protect your data and process it only on our instructions.
6. Advertising & tracking (Meta, Google)
We run paid advertising campaigns on Meta (Facebook and Instagram) and Google. If you click one of our ads, or visit our site after seeing one, the following may happen:
- The Meta Pixel records that you visited and which pages you saw, and reports conversion events (quote requested, call booked) back to Meta so we can measure ad performance
- The Meta Conversions API (CAPI) sends conversion events from our server to Meta, including hashed (one-way encrypted) versions of your email and phone where available, for ad measurement and audience matching
- The Google Ads tag records similar conversion data for our Google Ads campaigns
- Retargeting audiences let us show follow-up ads to you on Meta and Google if you don't complete the quiz on your first visit
You can opt out of advertising cookies at any time using the cookie banner on our site, or directly via:
- Facebook ad preferences
- Google ad settings
- Your Online Choices (EDAA) for industry-wide opt-out
7. Cookies
Our website uses cookies and similar technologies. We group them into four categories:
- Essential — required for the site to function (e.g. form submission, security). These don't need consent.
- Functional — the LeadConnectorHQ embed which powers our quiz and calendar; remembers form progress.
- Analytics — Google Analytics (
_ga,_gid) to understand how visitors use the site. Set only with your consent. - Advertising — Meta Pixel (
_fbp), Google Ads (_gcl_au) for measuring ad performance and retargeting. Set only with your consent.
You can manage your cookie preferences at any time via the cookie banner at the bottom of any page, or by clearing cookies in your browser.
8. International transfers
Some of our processors (notably GoHighLevel, Meta, Google and Vimeo) are based in or operate from the United States. When we transfer your personal data outside the UK, we rely on one of the following safeguards:
- UK-US Data Bridge / EU-US Data Privacy Framework where the recipient is self-certified
- Standard Contractual Clauses (SCCs) issued by the European Commission, supplemented by the UK International Data Transfer Addendum where needed
- Adequacy decisions adopted by the UK government, where applicable
You can request copies of these safeguards by emailing us at info@crusaderenergy.co.uk.
9. How long we keep it
- Quote enquiries that didn't proceed: up to 24 months from your last contact with us, so we can pick up where we left off if you come back
- Customers (installation completed): for the duration of your panel warranty (25 years) plus an additional 6 years for legal, tax and warranty-claim purposes
- Marketing consent records: until you withdraw consent, plus 12 months after to evidence the withdrawal
- Website analytics: aggregated data is kept indefinitely; individual visitor data is retained per Google Analytics defaults (typically 14 months)
- Advertising data with Meta and Google: per their respective retention policies, typically 180–540 days
10. Your rights
Under UK GDPR you have the following rights, free of charge:
- Access — request a copy of the personal data we hold about you
- Rectification — ask us to correct inaccurate or incomplete data
- Erasure — ask us to delete your data (the "right to be forgotten"), subject to legal retention requirements
- Restriction — ask us to stop using your data for certain purposes while we investigate a concern
- Portability — receive a structured, machine-readable copy of the data you've given us
- Objection — object to processing based on legitimate interest, including for marketing
- Withdraw consent — for any processing based on consent, at any time
- Not be subject to automated decisions with legal or similarly significant effects (we don't make any)
To exercise any of these rights, email info@crusaderenergy.co.uk. We'll respond within one calendar month.
11. Security
We take appropriate technical and organisational measures to protect your data, including: encrypted connections (HTTPS/TLS) across this site and all our forms; access controls limiting who in our team can see your data; written data processing agreements with all our third-party processors; secure cloud storage; and staff training on data protection. No system is 100 % secure, but we monitor for breaches and will notify you and the ICO promptly if one occurs that's likely to affect your rights.
12. Children
This website and our solar quote service are intended for homeowners aged 18 and over. We don't knowingly collect personal data from children. If you believe we've accidentally collected data from a child, please contact us and we'll delete it.
13. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top of this page shows when it was most recently changed. Material changes (anything that significantly affects your rights) will be highlighted on the homepage or notified to you by email if we have your address.
14. Contact & complaints
